Email restore job configuration

Introduction

The Email restore job allows administrators to restore previously archived emails back into mailboxes or In-Place Archives on the Exchange server. Configuring this job involves setting up report mode, processing options, scheduling, address book object selection, folder filtering, notification settings, and resource settings.

Report mode settings

If the Use report mode checkbox is checked, the job runs in report mode. After the job finishes running in this mode, the user can download a .csv report file in this section. The file contains a list of emails belonging to the entities selected in the Address book objects to process section of the job, along with additional information, including whether each email will be processed or not.

Processing settings

From the Restore dropdown list, the administrator must choose what will be restored by the restore job. There are three options:

  • Mailboxes
  • In-Place Archives
  • Mailboxes and In-Place Archives

The administrator may select here whether to use the MAPI protocol to communicate with the Exchange server. If MAPI is not selected, an EWS (Exchange Web Services) connection is used by default.

warning

Important: Microsoft 365 Exchange server does not support MAPI connections. Another requirement to use MAPI is to have Exchange server 2013 or an earlier version.

info

Note: MAPI can be selected only if the Mailboxes option is selected in the Restore dropdown list, since MAPI is not supported by In-Place Archive.

Scheduling settings

In this step, the running time(s) of the restore job must be selected. You can either select a scheduler from the list or create a new one using the create new option. Restore jobs are usually scheduled with "one time schedulers." For example, a restore job may be scheduled to run on October 1st, with a start date of 6 PM CET, running until the restore process finishes.

For more information about how to set schedulers, refer to the Schedules page.

Address book objects to process

Here you can select the mailboxes, groups, or the entire Exchange server that will be processed by the restore job. For example, to restore the mailbox of "edit.balazsy," select it from the list. To find it, click the Documentation340.1 select option and start typing the mailbox name into the Mailbox selection search field.

info

Note: If the In-Place Archives option is selected in the Restore dropdown list in Processing settings, a warning will appear for Address book objects. In this case, only servers, groups, and In-Place Archive mailboxes can be selected after clicking the Select option.

Important: If an on-premise Exchange group is used in a job configuration, the job configuration needs to be updated after the group is moved to the cloud, since the group identifier changes and the job continues to use the old identifier.

Steps to take:

  1. Open the job's configuration page.
  2. Remove the group from the list of Address book objects to process.
  3. Select the group and re-add it to the list.
  4. Save the job configuration.

Include folders

The email restore job crawls the entire mailbox or recursive folders within the mailbox. Before entering the folder name(s) to be crawled, select the folder filtering type.

cACCESS 2.9 doc 224

  • Entire mailbox: The whole mailbox, including all folders, will be restored.
  • One single folder: Only one pre-selected folder will be processed (for example, if you set %INBOX%Subfolder1, only Subfolder1 will be processed).
  • Recursive, starting from a single folder: All folders starting from the specified folder will be processed (for example, if you set %INBOX%Subfolder1, every subfolder starting from Subfolder1 will be processed in the structure).
  • Multiple folders and Multiple recursive, starting from a single folder: The same rules apply as above, but multiple folders can be worked with simultaneously (for example, %INBOX%, %OUTBOX%Folder name 5... or %TASKS%, %CALENDARS%Folder name 6).
warning

Important: Due to different language settings in user mailboxes, it is highly recommended to specify root folders using wildcards (%). Subfolders must be added to a root folder with a backslash (\).

warning

How to restore the whole mailbox? By selecting Recursive, starting from a single folder as the filtering type under Include folders and leaving the folder path textbox empty, the whole selected mailbox will be restored.

cACCESS 2.9 doc 225

For example, to restore the content of a single folder, "Subfolder 1," under the "INBOX" root:

Exclude folders

With this function, you can set which folders/subfolders should not be restored. The same rules apply for the restore job as for the archive job. Folders may be:

  • Added (via the + new option), as described in the Email archive job configuration; or
  • Imported (via the import option).

To learn more about these settings, refer to the Importing contentACCESS configurations from files page.

Important: Due to different language settings in user mailboxes, it is highly recommended to specify root folders using wildcards (%). Subfolders must be added to a root folder with a backslash (\).

Filtering settings

Click the Change filter button and set the filtering according to your needs and/or regulations. To learn more about how to work with filtering settings, refer to the Filtering in jobs page.

Notification settings

Here you can select when to send notification emails from the restore job regarding the success of the restore process. You can set notifications to be sent always, never, or only when an error or warning occurred during the restore process. In the Recipient list textbox, enter the email address(es) of the person(s) who will receive these notifications. Notification emails may be useful if the System logs feature is not used to detect possible job failures.

Resource settings

Set the value that determines how many items will be processed simultaneously by the email restore job. The recommended value is 2.

Save and run the job

  1. Save your changes.
  2. Wait until the job starts to run according to the schedule.

Once the job finishes processing, the shortcuts linking to the matching items are replaced by the original items in the target folder (for example, the "Subfolder 1" folder).
