Email archive job
Introduction
The Email archive job stores mailbox items in a secure, long-term archive. Depending on the configured archiving method — shortcut (normal or HTML), the Keep original method, or a journal shortcut — archived items either remain accessible from the mailbox or are stored exclusively in the archive.
This job is typically automated and scheduled to run outside regular working hours, so that mailboxes are processed without interrupting daily workflow. This helps maintain a clutter-free inbox while ensuring that important emails are securely stored and easily retrievable when needed.
Archiving methods
The way archived items are represented in the mailbox depends on the selected archiving method:
- Shortcut (normal): The original item is replaced with a shortcut in the mailbox, while the full item is stored in the archive.
- Shortcut (HTML): Similar to a normal shortcut, but the shortcut is presented in HTML format.
- Keep original: The original item remains in the mailbox, and a copy is also stored in the archive.
- Journal shortcut: The item is archived and represented by a journal shortcut, rather than remaining as a full item in the mailbox.
Scheduling
The Email archive job is typically configured to run automatically on a schedule, usually outside of regular working hours. This ensures that mailbox processing does not interrupt users during their daily work, while still keeping mailboxes clutter-free and ensuring that archived emails remain securely stored and easily retrievable.
