Shortcut synchronization job
Introduction
The Shortcut synchronization job keeps live mailbox items in sync with the archive. This page describes the main and secondary functions of shortcut synchronization, and the prerequisites that must be met before the job can run.
When an item is archived, its location is stored in the archive. If a user later deletes, moves, or copies the archived item in the mailbox, the archive does not automatically follow these changes. Shortcut synchronization resolves this by updating the archive to reflect the item's current location in the live mailbox.
Functions of shortcut synchronization
The main function of the shortcut synchronization job is to update the location of an item in the archive based on the current location of the item in the live mailbox.
Secondary functions of the shortcut synchronization job include:
- Detection of foreign shortcuts and restoration of such items.
- Shortcut cleanup – removal of expired shortcuts.
- Inactive folders – marking missing folders as inactive (displayed in grey in contentACCESS Portal).
Note: If the shortcut synchronization job needs to restore a shortcut, the globally defined restore method is used (either an in-place restore or a restore using a new item). These settings are defined in the Email Archive System settings.
Prerequisites
Before starting the shortcut synchronization job, the following prerequisites must be met:
- Configured Email Archive, based on the Email Archive settings described in Important settings before creating an Email Archive job.
- The mailbox must be assigned to a store and database.
Details: If the mailbox is not assigned to a database, the following error message will be logged:
x mailboxes synchronized (1 failed), 0 shortcuts updated (xx folders skipped, xx unchanged)
The System logs will contain the following error: Unable to open database as it is not configured! - Configured Shortcut synchronization job.
