GDPR Jobs

Introduction

The GDPR Jobs page in Central Administration allows administrators to manage the jobs that process the roots and groups configured on the GDPR configuration pages.

A GDPR job processes all the roots or groups specified on a single configuration page. One job can only be used for one configuration page — for example, a single job cannot process both Exchange and Applications data; separate jobs are required for each.

All GDPR jobs available for the current tenant are visible under GDPR ⇒ Processing ⇒ Jobs.

How the job works

When a GDPR job runs, it:

  • Crawls all configured roots recursively.
  • Builds up the corresponding structure in the database.
  • Immediately indexes the data allowed by the configured filters. For Exchange, attachments are indexed as well.

Once the job has finished running, the resulting folder structure and data become visible in the contentACCESS Portal and in other client-side applications.

If an item or folder is modified or deleted at the source, the next run of the job updates the database and index accordingly — the item or folder is modified or removed to match the source.

Note: This behavior helps keep your data GDPR compliant, as it allows you to easily search, select, and delete data you have or want to get rid of — for example, when a customer unsubscribes or when an employee leaves the company.
